How does RFID mess card management work?

Every boarding student automatically gets a Mess Card linked to their hostel allocation. The card carries a wallet balance that can be recharged online or at the counter. Meal plans (Prepaid or Postpaid) control daily meal limits and auto-renewal. Each meal swipe creates a Meal Transaction record with date, meal type (breakfast/lunch/dinner), and amount deducted. At month-end, mess charges are automatically included in the Hostel Invoice.

What is the difference between a Regular Gatepass and an Emergency Gatepass?

A Regular Gatepass is for planned student outings — students request it with purpose, departure and return times, and the warden approves through a standard workflow. An Emergency Gatepass is for urgent or medical situations; it bypasses the normal queue and has SLA tracking (the system checks every minute for SLA breaches). Both types track actual return time and flag violations for late returns.

Can the hostel system connect to program enrollment?

Yes. When a student is marked as ‘boarding’ in their Program Enrollment, a Hostel Allocation is automatically created. This links the student to a block, room, and bed with their academic year, monthly rent, and security deposit. The checkout process requires No Dues Clearance — ensuring all hostel dues are settled before the allocation is closed.

How are hostel incidents tracked and escalated?

Incident Reports cover five types: Security, Medical, Behavioral, Property Damage, and Fire Safety. Each incident has a severity level (Low / Medium / High / Critical) and follows a workflow: Reported → Investigation → Parent Notified → Resolved → Closed. Evidence files can be attached, an investigation team is assigned, and the system creates a Hospital Referral for medical incidents. Student involvement is tracked as Primary / Secondary / Witness / Victim / Reporter.

What roles can access the hostel system?

The system has distinct roles: Hostel Warden (full management access, gatepass approvals, incident oversight), Block Supervisor (block-level room and student management), Security Staff (real-time gatepass monitoring and violations), and Housekeeping Staff (room maintenance and laundry).
